Executive Assistant

POSITION TITLE: Executive Assistant


REPORTS TO: President / CEO


STATUS/HOURS: Regular/Full-time (Evenings and Saturdays, as scheduled)


POSITION SUMMARY: This position manages the office of the President and CEO of Affinia Healthcare, providing administrative support. In addition to typing, filing, and scheduling, performs duties such as contract record keeping, coordination of meeting and conferences, obtaining supplies, coordinating direct mailings, researching and working on projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. The position represents the CEO at meetings and conferences as needed. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Point of contact for the Board of Directors with responsibility for monthly board meetings. Independent judgment is required to plan, prioritize, and organize a diversified workload.


This position also supports the Vice President and Chief Financial Officer and one additional member of the Affinia Healthcare Senior Executive Team.


POSITION QUALIFICATION REQUIREMENTS Education: Bachelor's Degree preferred. Experience: Minimum of seven (7) years' experience as an Administrative Assistant, Executive Assistant, and/or Office Manager.


Skills and Abilities which may be representative but not all inclusive of those commonly associated with this position:


1. Excellent command of the English language.

2. Must have knowledge of office administrative procedures, and knowledge of use and operations of standard office equipment.

3. Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.

4. Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, professionalism, and diplomacy to interact with high level constituency.

5. Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.

6. Work requires continual attention to detail, composing, typing and proofing materials, establishing priorities and meeting deadlines.

7. Excellent organizational skills, with ability to multi-task and manage sometimes complex and confidential matters under minimal supervision.

8. Commitment to maintain the confidentiality of correspondence, documents, discussions, meetings, and telephone calls.

9. Professional, accomplished computer keyboarding skills.


Transportation Requirement: Must possess a valid driver's license and automobile with insurance coverage as required by the State of Missouri.

FUNCTIONS OF THE JOB Essential Functions

1. Organizes and priorities large volume of information and calls. • Opens, sorts, and delivers mail. Drafts written correspondences or replies by phone or e-mail when necessary. Summarizes the content of incoming materials, specially gathered information, or meeting to assist executives; draws attention to important parts or conflict. Responds to regularly occurring requests for information. • Answers phones. Takes messages or field/answers all routine and non-routine questions.

2. Establishes, develops, maintains and updates filing system. Retrieves information from files when needed. Establishes, develops, maintains and updates library of journals and magazines.

3. Acts as liaison with other departments and outside agencies, including high-level staff such as CEOs, Presidents, etc. Handles confidential and non-routine information and explains policies when necessary.

4. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the President/CEO, which may include: researching for projects, planning and coordinating multiple presentations, disseminating information, coordinating direct mailings. 5. Designs general correspondences, memos, charts, graphs, business plans, based on the understanding of company policy, executive's view and philosophy. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Creates and develops visual presentations. Responsible for accuracy and clarity of final copy.

6. Schedules and organizes complex activities such as meetings, travel, conferences etc.

7. Handles details of a confidential nature, and performs functions based on understanding of company policy, executive's views and philosophy.

8. Develops and maintains positive working relationships with members of the Board of Directors; assist in planning, attends and records meeting minutes and summaries of the Board, and its subcommittees as requested.

9. Maintains the confidentiality of correspondence, documents, discussions, meetings, and phone calls.

10. Maintains and updates knowledge of organization's programs, policies and procedures.

11. Performs other duties as assigned.


Marginal Functions

1. Provides historical reference by developing and utilizing filing and retrieval systems-both hard copy and electronic; records meeting discussions.

2. Represents the President/CEO at meetings, community activities and events as requested.
